Before You Start: What You'll Need
The fastest onboardings we've done — some under 3 days — all had one thing in common: the client had their data ready before Day 1. Here's what to prepare:
- Employee master list (name, designation, department, date of joining, bank details)
- Salary structure (basic, HRA, allowances, any special components)
- PF and ESI registration numbers
- Attendance tracking method (biometric integration, manual, or app-based)
- Leave policy (types of leave, entitlements, carryover rules)
If you have this in an Excel file — even a messy one — that's enough. Our onboarding team will clean and format it for import.
Day 1: Setup and Configuration
Day 1 is handled largely by our onboarding team with your input. Here's what happens:
- Account created and admin access provided
- Company profile configured (name, PAN, GSTIN, registered address)
- Salary structure built in the system to match your existing components
- Leave types configured based on your policy
- Department and designation hierarchy set up
You'll have a 1-hour call with your dedicated onboarding manager who will walk through every configuration decision with you. Most clients are surprised by how few decisions there actually are — the defaults we've built cover the majority of Indian SMB payroll structures without any customisation.
Day 2: Data Migration
This is the step most clients worry about most — and it's usually the smoothest. We've built a structured import template that accepts data from any Excel format. Here's the process:
- You send us your existing employee data file (any format)
- Our team maps your columns to the TrueHRIS fields and cleans any inconsistencies
- You review the cleaned import file — typically takes 30 minutes
- Import runs, all employees are live in the system
- Historical salary data (last 6–12 months) imported for comparison
Q: What happens to our old Excel files? They remain yours — TrueHRIS doesn't delete anything. We recommend keeping them for 3 months as backup while you get comfortable with the new system.
Q: Can we import 3 years of history? Yes, though for most clients we recommend importing the last 12 months to keep the process fast.
Day 3–4: Team Training
TrueHRIS was built to be learned in hours, not weeks. Our training program covers everything your HR team needs in two focused sessions:
- Session 1 (90 min): Running monthly payroll end-to-end. Attendance input, payroll calculation, slip generation, bank disbursement report.
- Session 2 (60 min): Leave management, employee self-service, reports, and compliance filings (PF challan, ESI returns).
All sessions are recorded and available in your account forever. New HR hires can watch them without needing to schedule a fresh training.
Day 5: Go Live
On Day 5, your first payroll run on TrueHRIS is done with our onboarding manager on a shared screen. We run through every step together — input attendance, process payroll, review the calculations against your previous Excel output to verify everything matches, generate salary slips, and produce the bank transfer file.
For most clients, the first payroll run takes under 45 minutes. By month three, most HR teams are running payroll in under 20 minutes.
After Go-Live: What to Expect
The first month after go-live is when questions come up — edge cases in your leave policy, unusual salary components, employee queries about their portal. Our support team resolves the majority of these on the same day.
You'll also have a 30-day check-in call with your onboarding manager to review how the first month went and address any configuration adjustments needed.
The migration you've been putting off is easier than you think. The 5-day onboarding process is designed for HR teams — not IT teams. If you can run payroll in Excel, you can run it in TrueHRIS. And it'll take half the time with none of the errors.
